School Management Software Pricing in India — What Decides Your Quote
A 200-student school and a four-branch group are not the same piece of work, so a headline figure would be wrong for most people reading it. What we can tell you openly is what decides your figure, what is always included in it, and how the quote is put together — then you get the number itself in writing, before you commit to anything.
How each one is priced
Your figure is written down before any work starts, and it does not move unless you add to the scope.
SchoolSuite — one annual subscription, never counted per student
One subscription for the whole school, covering every feature. Your figure depends on the modules you need and the size of the setup and migration — never on how many students are on your roll.
What the subscription includes
- Admin dashboard with live attendance and fee collection across every class
- School-branded parent app and teacher app
- Fee collection online, with reminders, instalments and reconciliation
- Timetable, exams, report cards and homework
- Admissions tracking and student records
- Data migration from your spreadsheets, old software or paper registers
- Staff training over WhatsApp video, and support after go-live
- Every feature included — nothing sold as a paid add-on later
| As your school grows | Typical per-student ERP | SchoolSuite |
|---|---|---|
| You admit a new section | Bill goes up | Headcount is not in the calculation |
| You open a second stream | Bill goes up again | Headcount is not in the calculation |
| You double your roll in three years | Bill has doubled with it | Headcount is not in the calculation |
Ask any vendor you are comparing us against to put their per-student rate in writing, then multiply it by your roll for twelve months — and then by the roll you expect three years from now. That second number is the one worth comparing, and it is rarely the one on the proposal. We worked through the full arithmetic and the questions to ask if you want to check it against your own numbers.
Quoted to your actual scope, before anything is built
Custom work cannot honestly have a price list, so here is the next best thing: exactly how the quote gets made, and what is always included in it.
How a quote is produced
- 1We talk through what your business does and where the current process breaks. No charge, and no obligation.
- 2We write down what will be built, screen by screen, with a timeline.
- 3You get the cost for that scope, in writing, before anything starts — and it does not move unless you add to the scope.
- 420% to begin, 80% on delivery. Anything added later is quoted on its own, in advance.
Always included in the quote
- A requirements discussion before anything is quoted
- Wireframes and screen flows approved by you before we build
- Migration of your existing data
- Role-based access for admin, manager, staff and customer
- Mobile-responsive web application
- Reports that export to Excel and print cleanly
- 3–6 months of support after launch
- Your data exported and handed to you whenever you ask for it
AI automation
AI work is quoted differently from a normal build, because nobody can promise an outcome on data they have not seen yet. A WhatsApp assistant is set up once and then runs monthly; the rest depends entirely on what your process looks like and how messy the data behind it is.
We run a short paid pilot before any large automation commitment, so you see it working on your real data first. If you proceed, the pilot fee is credited toward the full project.
Transport & logistics billing
Freight billing is quoted from your existing invoice, not from a feature list. Send us the Excel sheet or PDF you issue today and we will tell you what it costs to automate it — reverse charge, bilty and GR entries, multi-vehicle shipment rows, toll and green tax, and the print-ready PDF your customers already recognise.

20% to start
A small advance confirms scope and puts the project in the queue.
80% on delivery
You pay the bulk when the software is in your hands and working. Milestone payments are available on larger builds.
No surprise invoice
The agreed figure does not move. New features are quoted separately, before they are built.
Your data stays yours
Exported to Excel or CSV whenever you ask — including the day you decide to leave.
Payment by NEFT, IMPS, UPI or bank transfer. We issue an invoice for every payment, and any applicable taxes are stated clearly on it.
What people ask before they ask the price
Get your number before you commit to anything
Tell us about your school or your business and we will come back with a written figure, usually within a few hours. If we are not the right fit, we will say so.
